Job Description

Position Title: Volunteer Coordinator

FSLA CATEGORY: Exempt, Full Time: 35 hr/wk (in office at City of Ventura location)

COMPENSATION/BENEFITS:

  • Salary: Negotiable (range annually $50,000 to $57,000, depending on experience)
  • 401k: Up to 4% matching, available after six months of employment.
  • Health Insurance: Available first of the month following two months from date of hire, not to exceed 90 days.
  • Dental insurance: only available if two F/T employees join the plan.
  • Personal Time Off: Accumulate ten days of vacation per year, increased to fifteen days per year after four years of employment; two personal days and five sick days provided each calendar year.

PURPOSE: To oversee and provide support to volunteer and field staff Ombudsmen.

REPORTING TO: Executive Director/Program Coordinator

RESPONSIBLE FOR: Overseeing, supporting, recruiting, and retaining volunteer and field staff Ombudsmen with facility assignments, problematic cases and ensure quality control of documentation and reports.

Responsibilities & Job Functions (including But Not Limited To:)

  • Provide on-going support, guidance, and mentorship to Ombudsmen in the receipt, investigation and resolution of concerns and complaints made by or on behalf of long-term care residents.
  • Help cover in-coming volunteer & customer phone calls
  • Coordinate staff and volunteer facility assignments.
  • Ensure adequate facility coverage
  • Provide facility visitation as needed
  • Assist in the investigation and resolution of complex cases.
  • Ensure timely submittal of reports by ombudsmen.
  • Review and monitor ombudsman documentation and reports.
  • Track annual training hours received by each ombudsman.
  • Assist with Certification training and continuing education for volunteer and staff ombudsmen.
  • Represent the program with other agencies and organizations, both public and private.
  • Plan and manage monthly Ombudsman in-service meetings
  • Assist in the posting of content on social media platforms
  • Create bi-monthly Ombudsman newsletter and distribute via email
  • Assist in report data entry, as needed
  • Provide customer pre-placement counseling
  • Other duties as assigned by supervisor

Qualifications

  • Successful completion of the 36-hour State Certified Long Term Care Ombudsman training and post-training mentored facility visits.
  • Complete 18 hours of additional training annually to retain certification. (Provided by agency)
  • Be at least 18 years old.
  • BA Degree or equivalent experience.
  • Good written and verbal communication skills.
  • Strong time management and project management skills
  • Proficient in Microsoft Word, Excel, PowerPoint & Outlook.
  • Experience in supervising or managing volunteers.
  • Ability and willingness to make presentations to small groups.
  • Valid California driver’s license, proof of insurance and reliable transportation
  • Submit to and successfully complete a Live Scan fingerprinting background check.

Note: Ombudsmen are by law, prohibited from employment in a long-term care facility or from having any financial interest in a long-term care facility during the time they are acting in an Ombudsman capacity. An Ombudsman will be required to sign the Conflict of Interest policy prior to commencing any assignments.
